The system has sent a notification via email that your mailbox is nearly full. What does this mean? And what can you do?

It's possible that you have set up multiple mailboxes under one account, with each address being allocated mail space. Some mailboxes may now have insufficient space (which triggers the system notification), while others may still have plenty of space available. You can redistribute this space yourself, or you can increase the total capacity for the account.

If you receive a notification that the mailbox is filling up, you can do four things:

  • Distribute mailbox space if you have multiple mailboxes.
  • Delete emails.
  • Archive emails on your computer.
  • Increase mailbox capacity.

In this email, we want to explain how you can maximize the use of your account.

How to archive email on your computer

By archiving mail, you move the mail stored on the server to a local folder on your computer, freeing up mail space. The mail will no longer be stored on the server. It is advisable to always back up your computer files.

Below are some links for archiving mail with different mail programs:

  • Mail Mac
  • Outlook 2016
  • Mozilla Thunderbird

If you have a mail program that is not listed here, search on Google using the terms: archive mail <your mail program>.
